SASC Testing - Frequently Asked Questions for Faculty

These FAQs are designed to help you understand and provide test accommodations to students enrolled in your courses. If you have additional questions, please contact SASC testing staff at sascexams@stonybrook.edu. The SASC Testing Center is located in the SBU Union room 112.

• What are the testing hours for SASC?

  Mondays through Thursdays from 8:30 AM - 9:30 PM, and on Fridays from 8:30 AM - 4:30 PM. Hours may vary during holidays, final exams, and intersessions.

• How can a test be delivered to SASC?

  It is preferred that exam materials be emailed to sascexams@stonybrook.edu. 

  Exams should be in electronic format (Word Documents preferred), for compatibility with assistive technology.  Physical exmas may also be dropped off at the SASC Testing Center during office hours.  Please note: This email address cannot access shared google drive files, and SASC is unable to print exams in color. 

  Please note:  Staff does not maintain 24/7 access to email.  Exams received outside of business hours (8:30-5 PM) will be processed the following business day.  Please, do not email exams to individual SASC staff.

• What information should I include when emailing my exams to SASC?

  Please include the following information with your exam (SASC has standard SBU opscans and bluebooks for administering exams).

  • Length of time given for the exam in class
  • A listing of any permitted items (calculator/note card/books etc.)
  • Special instructions for the proctor
  • Contact information for SASC to use if a student has a question during the exam
• When do exams need to be at SASC?

  SASC asks for exams to be delivered at least two business days before the scheduled exam appointment. For exams that require conversion into an alternate format (Audio/Braille), additional time may be required.  SASC staff will contact instructors regarding exams that need to be converted to ensure adequate time for converting the exam into the appropriate format.

• How do you ensure test security?
  Exam security is a top priority for SASC staff. Each exam is placed in an envelope with a unique barcode. Exams are logged into our database, and logged out when instructors pick them up. Only SASC professional staff have access to the sascexams@stonybrook.edu email and to the exams. Exams are kept in a secure location. In addition, all staff sign confidentiality agreements to protect the identities of our students and the course materials of SBU professors.
• Can you hold students before/after an exam?

  Yes, students may remain in the SASC Testing Center during our hours of operation. If students are required to stay until a certain time, please let us know and we will note this on the exam so that our proctors can enforce this.

• An opscan wasn’t returned with the completed exam. What happened?

  If a student has “no scantrons” as part of their accommodations, no opscan will be used. 

  Professors should make arrangments to grade these exams without opscans. 

• Can a Teaching Assistant or I check on the students during the exam to answer questions?

  Yes, you and your TAs may check on students during the exam. All exams must be picked up and signed out from the SASC Testing Center. 

• Can I provide a student with testing accommodations myself?

  Professors are encouraged to provide accommodations if they are able to.  Students can opt to take exams without accommodations.

• The student accommodation provides “use of a digital reader,” enlarged font, or exam in Braille. What do I need to do to make sure the student receives the entitled accommodation?

  SASC specialists are able to make conversions for these accommodations. In order to ensure that they have enough time to do so, please email a digital copy (Word documents preferred) of the exam at least two business days before the scheduled appointment. Should additional time be required, SASC staff will email you one week before the exam appointment.

• My exam includes a listening section, or images that need to be viewed. Can this exam be proctored at SASC?

  SASC is able to proctor exams with listening sections and images. We request that these exams be delivered to SASC two days in advance of the scheduled appointment. Generally, we request that audio files be provided in MP3 or WAV format, and images are provided in PowerPoint, or PDF. 

  Students taking audio/visual exams will be provided with a non-networked computer. SASC staff cannot control playback, but will provide any instructions provided.

• Why do I receive multiple emails from SASC asking for exams?

  SASC uses a computerized program for exam scheduling. The program sends automatic email reminders, which are often sent after the delivery of the exam - 7 days, 5 days, and 2 days before scheduled exams.

• How do I receive my exam once it has been completed?

  Exams may be picked up in SASC Testing Center, located inthe Student Union Room 112. Exams may be picked up by a faculty member, Teaching Assistant, or department staff. Upon request, exams may be returned via email.  SASC does not interoffice or mail exams to faculty.

  During Finals, we suggest that you do not pick up exams around 8:00AM, 11:00AM, 2:00PM, and 5:00PM. These are busy times when our staff is seating students for their final exams, and it can cause delays at the service window. 

• I have a student that does not have accommodations, but needs to take a makeup exam. Can SASC proctor this exam?

  No, SASC is only able to proctor students with approved accommodations. If you need assistance proctoring a makeup exam, you can contact the university testing center located in Frey Hall 109.

• What happens if a student shows up late to their exam appointment?

  Students will be seated for their exam if they arrive up to 30 minutes late. The end time of the exam will not be changed. Students arriving more than 30 minutes late will not be permitted to sit for the exam, and they will be instructed by SASC staff to speak to their instructor.

• Are students able to have access to networked devices during an exam?

  Unless approved by faculty, or an approved accommodation (example - glucose monitoring software), students testing in SASC are required to secure all laptops, tablets, phones, and smart wearables prior to starting their exam. Professors will be notified if there is a specific accommodation that requires a device to be available during exams.

• What should I do if a student requests an exam at a different time from the class?

  If a student requests an exam at a different time, SASC will not administer the exam without instructor permission. If you are giving permission, please email sascexams@stonybrook.edu, so we are aware.

• Is SASC able to proctor online exams?
  SASC will offer both in person and remote proctoring for Spring 2022. We are able to administer online exams.  If the exam requires a specific program, please contact SASC staff to make arrangements.
