SPACE USAGE
Please review the below policies regarding space at Stony Brook facilities prior to
booking your event. Thank you.
CATERING
Internal events with food incur a custodial fee. Campus Catering (CulinArt, Windows
or Simons Café) do not require a food permit, outside caterers will require a food
permit and it is the responsibility of the client to secure all food/alcohol permits
and supply a copy to the facility. Food permits are due to the Venue Manager one week prior to the event.
Catering set up/breakdown times are considered part of your reservation. Caterers
may not leave any equipment overnight all items must be picked up at the conclusion
of the event or it will be thrown out. All linens or dishes, silverware or plastic ware should be provided by your caterer.
TABLES AND CHAIRS
All table and chair set ups are part of the rental cost. For safety reasons clients
should not be setting up, re-arranging or breaking down space. Furniture cannot be
used outside of the building. Should your event require items we cannot provide, the
university works closely with Taylor Rental who offers university pricing and with the staff to schedule deliveries, set ups and breakdowns.
EQUIPMENT
For safety reasons the Wang Center does not allow clients to bring in their own audio
visual equipment aside from laptops and slide advancers. Most rooms are equipped with
media stations, an AV support tech can be available for a fee to assist with set ups.
DECORATIONS
Most of our facilities do not permit attaching anything to the walls, doors, or floors.
Easels and display boards can be provided, upon request. Helium balloons and open
flames are also not permitted in any of the spaces within the Wang Center specifically.
Should your event require banners or posters to be hung, this must be pre-arranged
with a member of our Wang Staff.
FUNDRAISING
All fundraising activity for the University’s benefit, including the University Medical
Center, Long Island State Veterans’ Home, and Stony Brook Southampton is the responsibility
of the staff of the Office of the Vice President for Advancement.
